Beanworks allows you to perform group, or bulk actions on multiple PO's at once. The following group actions available are:

  1. Group / bulk submit for approval

  2. Group / bulk change ownership

  3. Group / bulk change Organizational Unit (OU)


Bulk submit for approval
 
In the grid view, select the PO's by clicking on each Purchase Order line while holding your control key (or by using the check boxes on each row to select them). All selected PO rows will appear highlighted in blue. Under the Actions button, select Submit for Approval. You need to make sure that all PO's are fully ready to be approved.
 
If there are any issues with any PO's selected for submission, and they are not able to submit for approval (ex. they are missing required fields), you will be alerted with a pop up message and those PO's will not update, but all other PO's without issues will still update as selected.
 
Once selected, you may perform any of these bulk actions, including changing ownership of multiple purchase orders, or changing the OU of multiple PO's at once:
 
To group change the ownership, or OU of multiple PO's at once

  • In the grid view select the PO's you would like to change ownership of, or amend the OU for, by clicking on each Purchase Order line while holding your control key (or by using the check boxes on each row to select them). All selected PO rows will appear highlighted in blue.

  • Then choose 'Actions' and click which group / bulk function you would like to perform

  • To group change an OU, choose the desired target OU from the dropdown list. 

  • To group change ownership scroll through and select the desired new owner, or type in the name of the user. Click to select the user once shown in the list

  • Your Purchase Orders will then update this change may take a minute to apply if a lot of PO's are selected
